An exciting opportunity working within the in-house legal team at a world leading University. Within this position you will be providing support to both commercial contracts and data protection (including freedom of information requests) teams.  You will also be required to provide general administrative support to the team that may include carrying out research and reviewing legal documents and forms under supervision.

Overview of role

  • To provide clerical support to the Legal and Compliance Services team
  • To provide contract administration support, being responsible for co-ordinating all contracts
    which come through the team, to include logging, triaging, filing and managing the contract
    approvals and sign-off process.
  • To contribute to the overall efficient and effective operation of the data protection team
    through ensuring University compliance with information law requirements.
  • A willingness to undertake legal training as an apprentice. Potential to progress to a trainee solicitor role, both LPC and SQE routes considered.

General Administration
Provide clerical support to Senior Legal Counsel, including but not limited to:
o Assisting with the logging of new legal files and scanning and filing of documents.
o Scheduling meetings as requested, including booking meeting rooms and sending
out diary invites.
o Arranging meetings, circulating agenda/papers and minute writing in meetings.
o Processing travel requests and booking travel and accommodation.

•Using the University finance system to raise Purchase Orders and process invoices.
• Be responsible for the department’s Precedent and Know How banks.
• Order stationery and IT equipment, and place hospitality and catering bookings, as
required.
• Supporting with project work, as required.
• Carry out general office duties to assist the Senior PA, such as managing diaries in their
absence.

Contract Administration
Administering the contracts process from point of notification of contract through to
archiving. To include:

  • Designing and running an efficient contract administration process for high volume of
    contracts (c.80 new instructions per month).
  • Logging all new instructions into the department.
  • Triaging contracts to the rest of the team so that they are dealt with by the most
    appropriate person.
  • Overseeing non-research contract approvals for all contracts and obtaining all
    approvals under the University’s Financial Procedures, including obtaining final
    signature.
  • Closing, scanning and filing of completed contracts, including maintaining the contracts archive.
  • Administering and maintaining the Legal and Compliance Services contracts database,
    including running monthly reports.

Information Governance
• Assist with all requests by individuals to exercise rights relating to the General Data Protection Regulation to agreed deadlines, and all related legislation to agreed deadlines
• Assist with requests under the Freedom of Information Act.
• Support the Data Protection team (DP) department in meeting the University’s compliance obligations.
